Giving every document the right name matters, but when it comes to recording a transaction in the books, what counts is the content of the document, not its title.
How source documents are prepared and kept is governed by the Estonian Accounting Act (Raamatupidamise seadus).
§ 7. Source document
(1) An accounting source document is evidence whose content and form must, where necessary, allow a competent and independent third party to verify the circumstances and authenticity of an economic transaction.
(2) Unless otherwise provided by law or a regulation issued under it, a source document must contain at least the following information about the transaction:
-
the time it took place;
-
a description of its economic substance;
-
numerical data, such as quantity, price and amount.
§ 12. Obligation to retain accounting documents (1) A person obliged to keep accounts must retain accounting source documents for seven years from the end of the financial year in which the transaction based on the source document was recorded in the accounting register.
